Provide a Controlled Drawing or a Clearly Identified Sample
A dimensioned drawing is the best starting point for custom U-bolts, shafts, pins, brackets and other OEM steel parts. Include the drawing number, revision, units, scale, material, finish and tolerances. Mark critical dimensions separately from reference dimensions so the supplier understands which features control fit or function.
If no drawing exists, send a verified sample, clear photos and a dimensioned sketch. Explain whether the sample is new, worn, bent or corroded. A supplier can measure a sample, but the buyer should confirm which dimensions represent the intended design rather than damage or service wear.
State Material and Mechanical Requirements Precisely
Use an exact material grade, recognized standard or agreed mechanical-property range whenever the part function requires it. General terms such as steel, stainless, high tensile or hardened can describe many different materials. If alternative grades are acceptable, say so and ask the supplier to identify any proposed substitution in the quotation.
Add hardness, heat treatment, grain direction, weldability or corrosion requirements only when they are relevant. Over-specification can increase cost and lead time, while missing requirements can create risk later. For load-bearing or safety-related parts, the approved engineering specification should remain the controlling document.
Define Dimensions, Tolerances and Special Features
List overall dimensions as well as functional details such as thread size and pitch, bend radius, grooves, cross holes, chamfers, flats, keyways and surface-finish zones. Use geometric tolerances where concentricity, runout, position or perpendicularity matters. Avoid applying a tight general tolerance to every dimension unless the design truly requires it.
For replacement parts, include mating-component information and explain how the measurements were taken. A U-bolt may need axle dimensions and plate-hole spacing; a shaft may need bearing fits and seal-contact areas; a pin may need hole position and retention details. This context helps the supplier review manufacturability.
Include Quantity, Sampling and Production Expectations
Quotation depends on prototype quantity, batch quantity and expected annual demand. Tooling, fixtures, material purchasing and process layout may be economical at one volume but unsuitable at another. State whether the order is a one-time replacement, a trial batch, a recurring purchase or an OEM production program.
If a sample or first article is required, define what the buyer will inspect and how approval will be recorded. Clarify whether the sample uses final material and finish, whether destructive testing is needed, and whether the supplier may begin bulk production before written approval.
Specify Surface Treatment and Inspection Documents
Identify the required finish, color, coating thickness, appearance standard and corrosion target when applicable. Zinc plating, hot-dip galvanizing, black oxide, passivation, polishing and oil protection serve different environments. Coating choice can also affect thread fit, dimensions and packing.
List required documents before quotation. Examples include material certificates, dimensional reports, hardness results, coating-thickness records, sample approval records and packing photos. The supplier can then include the necessary inspection effort instead of discovering documentation requirements after production.
Add Delivery, Destination and Export Packing Details
Provide the destination country or port, required delivery window, preferred shipping method and trade term if known. Heavy steel parts can have very different logistics costs depending on carton, pallet, wooden case, bundle weight and shipment volume. Destination information also helps the supplier propose moisture and rust protection.
For mixed parts, state labeling, buyer part numbers, package quantities, barcode or batch-code requirements. Clear packing instructions reduce receiving errors. Your final RFQ should therefore include the drawing or sample, material, dimensions, tolerance, finish, quantity, inspection, destination, delivery target and packing method.
