First Article Approval Checklist for Custom Steel Parts

Help buyers approve the first sample with the right drawing, measurements, thread checks, finish evidence and packing details before bulk production.

Many overseas projects do not fail because the supplier cannot make the part. They fail because the first sample is reviewed informally and both sides assume the same things were approved. That problem appears often on custom U-bolts, shafts, pins, brackets and other steel parts where the sample looks correct at a glance but one missing detail, such as thread fit after coating, stack-up length under assembly, or carton labeling for service inventory, only becomes visible after bulk production starts. A practical first article approval package gives the buyer a controlled checkpoint before release, without turning a normal industrial order into unnecessary paperwork.

  • First article approval should confirm production readiness, not only sample appearance. The goal is to check whether the drawing, material, process route, inspection method and packing plan are aligned well enough to release the order with confidence.
  • Start with the exact drawing revision and a ballooned layout of the key dimensions. Buyers should mark which dimensions are critical for fit, load, thread compatibility or assembly stack-up, and which ones are only reference values. This avoids the common mistake of reviewing every size equally while missing the few dimensions that actually control function.
  • A real buyer example is a trailer replacement U-bolt that looked acceptable as a loose sample, but the usable thread length became too short once the spring plate, washers and nut engagement were checked together. The sample itself was not obviously wrong. The approval package was incomplete because it did not include the installed stack thickness and post-coating nut run check.
  • Dimension evidence should match the product type. For shafts and pins, that may include working diameter, shoulder position, hole location, groove width, straightness or runout check points. For U-bolts and anchor bolts, it usually includes rod diameter, inside width, leg length, thread length, bend symmetry and mating plate or bracket fit.
  • Thread verification deserves its own line item. Buyers should define whether the part uses metric or inch threads and how fit will be checked. For metric threads, references such as ASME B1.13M align with the common M-profile system, while practical approval on custom parts often still includes a real nut-run test with the mating hardware.
  • If plating or hot dip galvanizing is required, the first article package should show finish condition and thread condition after coating, not before coating only. This matters because coating thickness can change fit, torque feel and usable engagement on threaded fasteners.
  • Material confirmation should be proportional to risk. For many B2B steel parts, a mill test certificate or traceable raw-material record is enough. If hardness or heat treatment is functional, the buyer should also request the test method, the target range and the location measured on the sample.
  • Sampling expectations should be written clearly before bulk release. Buyers do not always need a full report on every dimension of every part. In many industrial programs, a defined sampling approach is more practical, and frameworks such as ISO 2859-1:2026 are often used as a reference for acceptance sampling by attributes.
  • Automotive buyers may already know PPAP language, but non-automotive industrial projects can still borrow the useful parts of that discipline. AIAG PPAP, Control Plan and MSA guidance all point to the same practical idea: define what must be controlled, how it will be measured and what evidence is needed before production rate increases.
  • Surface treatment approval should cover more than color. Buyers should check coating type, visible coverage, any no-coat areas, thread usability, anti-rust protection for shipment and whether the finish matches the actual service environment instead of only the sample appearance under indoor light.
  • Packing should be approved in the same first article stage when the parts will go into service inventory, aftermarket distribution or export storage. Carton quantity, label content, anti-rust protection, inner bagging and pallet method can all affect receiving accuracy and corrosion risk after shipment.
  • The approval record should be one package, not scattered across chat messages. A clean package usually includes drawing revision, marked dimensions, sample photos, measurement record, material evidence, finish note, packing photos if needed and a written approval or deviation list.
