How to Request a Quotation for Replacement Steel Parts Without a Drawing

Help buyers prepare a workable RFQ for replacement U-bolts, shafts, pins and steel parts when no valid drawing is available.

Replacement-part sourcing often starts with incomplete information. A maintenance buyer may have only a worn shaft, a rusted U-bolt, a broken pin or an old assembly photo from the field. That is still enough to start a serious quotation, but only if the buyer separates confirmed dimensions from guesswork. In practical factory review, the biggest delays usually come from three problems: worn samples measured at the wrong location, thread systems not identified clearly, and no explanation of whether the new part should copy the old part exactly or correct a previous failure.

  • Start by telling the supplier whether the sample is for exact replacement or for design improvement. A supplier cannot judge the quotation route correctly if the old part failed because of corrosion, thread damage, bending deformation or undersized material.
  • For worn shafts and pins, measure the least-damaged functional area instead of the most polished contact area. In real replacement projects, the shiny worn zone often reads smaller than the original finished size and can mislead the machining allowance.
  • For U-bolts and bent fasteners, send both the loose part dimensions and the mating assembly dimensions. A factory often needs axle diameter, plate hole spacing, stack thickness or frame size to confirm whether the old part geometry was correct in the first place.
  • Do not rely on one mobile-phone photo alone. Include front, side and end-view photos, a simple hand sketch, and caliper or tape measurements with visible reference points so the quotation team can see how each size was taken.
  • Thread identification is critical. Buyers should state whether the replacement part uses metric, UNC or UNF threads, and should verify pitch with a thread gauge or matching nut when possible instead of estimating by eye.
  • If no material certificate exists, describe the service condition rather than guessing a steel grade. Load, vibration, outdoor exposure, contact with fertilizer, marine air or repeated wear gives the supplier a better basis for recommending carbon steel, medium carbon steel, stainless steel or a heat-treated route.
  • Surface finish should be described separately from material. A rusty sample does not prove the original finish was plain steel, because many field-return parts arrive after coating damage, poor storage or long outdoor service.
  • Show where the part fits in the assembly and what function it performs. A pin used only for location is reviewed differently from a pin carrying shear load, and a clamp bolt holding a pipe is reviewed differently from a trailer suspension U-bolt under cyclic vibration.
  • Use simple reference standards when available. For example, buyers can mention that thread fit should match the existing ISO metric nut or UNC nut in stock, or that critical dimensions follow the same inspection points used in the buyer's maintenance drawing.
  • Tell the supplier which dimensions are confirmed and which are approximate. This saves time because the factory can quote one route for direct production and another route that includes sample confirmation before mass production.
  • If the old sample has been modified in the workshop, say so clearly. Weld repair, re-drilled holes, hand-cut threads or field bending are common on maintenance parts and should not be mistaken for the original manufacturing specification.
  • For export orders, include packing, labeling and batch identification needs at the RFQ stage. Replacement parts often go straight into service inventory, so carton marks, item labels and quantity per box matter more than many buyers expect.
  • A practical no-drawing RFQ usually includes: sample photos, measured dimensions, mating-part dimensions, application description, target quantity, required finish, destination country and any known failure history.
