Sourcing OEM metal parts from China can work well when the buyer controls the technical information, approval process and quality records from the beginning. The lowest quoted unit price does not show whether two suppliers have included the same material, tolerances, testing, coating or packing. This workflow helps purchasing teams compare offers consistently and reduce avoidable changes after production starts.
Define the Part and the Supply Scope
Begin with a controlled drawing, revision number and application description. List material, dimensions, tolerances, threads, heat treatment, coating and quantity. Identify whether the supplier will provide only the metal part or also nuts, washers, plates, labels, certificates and export packing.
For reverse-engineered parts, provide a verified sample and explain its condition. Worn, bent or corroded samples may not represent the original design. The buyer should approve the intended dimensions and functional requirements instead of asking the supplier to copy damage.
Evaluate Relevant Manufacturing Capability
A supplier should have a credible process route for the specific part. Cold drawing, machining, bending, thread rolling, heat treatment, welding and surface treatment require different equipment and controls. Ask which operations are performed internally and which are handled by approved external processors.
Review experience with similar geometry, material and order volume rather than relying only on a broad factory description. Confirm how drawings are reviewed, revisions are controlled and nonconforming parts are handled. Communication speed matters, but technically accurate answers matter more.
Send the Same RFQ Package to Each Supplier
Use one RFQ package so quotations can be compared on the same basis. Include prototype and batch quantities, expected annual demand, destination, delivery target, trade term, inspection documents and packing. State whether tooling, samples and testing should be priced separately.
Ask suppliers to list assumptions and deviations. If a proposed material, tolerance, coating or process differs from the drawing, it should be visible before price comparison. A lower price based on a relaxed tolerance or excluded inspection is not equivalent to a complete quotation.
Control Samples and Drawing Revisions
Use a first article when the design is new, fit is critical or the part is made from a replacement sample. Define the measurements, documents and functional checks required for approval. Keep written records of comments and require an updated drawing or confirmation when dimensions change.
Do not allow sample approval to rely only on photos. Photos can confirm general appearance, but fits, thread quality, hardness and material require appropriate measurements or records. Bulk production should use the same approved revision and agreed process.
Agree on Quality Records Before Production
Quality documentation may include material certificates, dimensional reports, hardness results, thread-gauge checks, coating thickness and packing photos. Select records according to part risk rather than requesting every possible document. The quotation should reflect the actual inspection scope.
Clarify the response process for nonconforming parts, including evidence, segregation and corrective action. For recurring orders, retain approved samples, drawings and inspection criteria so later batches can be compared with the same baseline.
Plan Export Packing and Logistics
Heavy steel parts require packing that protects threads, machined surfaces and coatings while remaining safe to handle. Discuss carton weight, pallets, wooden cases, bundle separation, rust prevention and moisture protection. Mixed part numbers should be separated and clearly labeled.
Provide the destination country or port early so the supplier can estimate packing dimensions and logistics options. Confirm shipping marks, buyer part numbers, package quantities and required documents before the goods are ready. Late packing changes can affect cost and dispatch time.
Build a Repeat-Order System
After the first successful order, record the approved drawing revision, material, process, finish, inspection plan, packaging and supplier part number. Repeat orders should reference this baseline and identify any change in quantity, application or destination.
